The Burlington Hotel is Dublin city centre’s premier luxury 4 Star Hotel, with over 300 employees, 500 bedrooms and conference facilities for up to 1300 delegates.

Controlling costs a number one priority

Prior to the installation of Mitrefinch’s Time and Attendance Solution (TMS) the hotel used an alternative system but it wasn’t calculating hours worked to their satisfaction and simply couldn’t handle the extent of their requirements.

Prime Laundry utilise employee working time more effectively with Mitrefinch Time and Attendance

Prime Laundry & Dry Cleaning is the largest independent, privately owned laundry and linen provider in Western Australia. Operating from Belmont, with a satellite distribution warehouse in Bunbury, they have a workforce of over 150 and a fleet of 15 trucks and vans enabling them to operate 7 days per week.

Faced with inefficiencies that resulted from manual time recording and payroll calculation, Prime required a centralised workforce management system that would enable them to utilise their employees’ working time more effectively and gain greater operational control.

Different pay rules had to be applied for the payment of different categories of workers, creating challenges in the consistent application of pay rules.

In addition, Prime had also experienced some issues with “Buddy Punching”, whereby employees inappropriately enter time and labour data for each other.

This in turn led to lower productivity levels and inaccuracies in payroll calculation.

Prime’s Chief Financial Officer explains:

“We required an employee management system that was more dependable, efficient and flexible, capable of capturing accurate employee data in a quick and easy manner.”

Managing different pay rates, shifts and work rules

Prime decided to implement Mitrefinch’s Time and Attendance solution (TMS) upon recommendation from one of their industry peers, Aarons Linen, who had previously implemented the system at their Queensland operation.

Now, when Prime staff arrive for work, they clock in via a Mitrefinch Biometric Clocking Terminal, which uses a finger scan to identify the employee and a combination of swipe card or personal ID number to verify.

This eliminates “buddy punching”, ensuring management that they are getting work for the hours they are paying.

Mitrefinch TMS also has the capability to deal with Prime’s varying shifts.

“With staff on a variety of different contracts and shifts, it is crucial to have the ability to easily and accurately draw together all of the information required to run our payroll".

Importing employee time data directly from TMS to their Sybiz Visipay payroll application is now an automated process that takes only a couple of minutes.

Improved reporting for better planning and forecasting

Where once it was difficult to generate reports about time and costs, now managers can run reports directly from TMS. This allows Prime to efficiently monitor, plan, forecast and budget for its personnel resources with greater control, taking into account absentees, cost per employee and employee specific skill sets.

The information captured gives management an easily-accessed overview of staff attendance which enables them to target resources more effectively through improved shift planning and greater budgetary control.

“We find Mitrefinch TMS very easy to use, in addition reports such as Clocked versus Planned Hours are easily generated. They can also pull reports on hours worked for each team, total number of hours clocked, and track employees by department.”

“In addition, BIC reporting developed through Sybiz Visipay assists with planning and creates better reporting in the payroll department. The transparency to see what is happening with staff is paramount to the successful running of the company.”

The Trinity Hospice is a London based organisation caring for people with advanced illnesses both within their own homes or at the hospice itself. Founded in 1891, it is one of the oldest hospices in the UK.

Converso are a leading telemarketing service provider, providing outbound, inbound and reception services for companies across Europe. They operate from a state of the art 180 seat Customer Contact Centre in the UK.

Across all areas of their business Converso believe that investing in technology helps them provide the highest level of service to their customers and gives them an edge over their competitors. Following a review of their call centre operations, Converso’s Management team felt that their existing processes for monitoring work time was no-longer up to the job and it was time to look at a new system.

Biometrics replace old swipe card system

Converso selected the web enabled Mitrefinch Time and Attendance system, as they felt it fitted well with the high-tech nature of their operations. They also chose Mitrefinch’s biometric fingerprint terminals to replace their old card readers.

As Lisa Blinkhorne, HR and Payroll Manager explains:

“Our old time logging system was based on swipe cards which were not ideal as they were easy to lose or damage. We constantly had to issue new cards to staff who had forgotten theirs. More seriously, there was the danger that the system could be open to abuse by employees swiping in on behalf of their colleagues, allowing them to claim for time they had not worked"

Now when staff arrive for work they simply enter a pin number to identify themselves then place their finger on the reader. The number code generated from their finger ridges is automatically checked against the genuine code for that pin number. This pin and finger combination provides Converso with an excellent combination of security and fast processing speeds, without any cards to go missing.

Self service tools improve employee engagement

In addition, when staff log on at their PC and are ready to begin work they can clock in using Mitrefinch web-based application. From here they can also view their entitlements and request leave (subject to supervisor approval).

Mitrefinch TMS has really improved efficiency within the HR and Payroll department: "Administration has been reduced as it is no longer necessary to manually check off anomalies in hours worked. The supervisors are now responsible for ensuring all their absence hours are signed off for their own team, which is ideal as they are better placed to know why a team member's hours do not match their roster. Payroll data is now much more accurate and produced more quickly”.

Identify potential absence trends and issues

She adds, “supervisors have access to a visual attendance planner which allows them to easily spot patterns or problem absence in their team and address it appropriately. It also allows them to commend good performers."

HR can now run numerous reports for the contact centre management team allowing them to make comparisons, identify trends in absence and act accordingly. They can generate bespoke reports on request with the easy to use built in Report Writer.

Moving from Bundy Cards to Biometrics

They were initially using an old Bundy Clock system to track employee attendance. As the organisation grew, it became increasingly time consuming to manage the volume of admin work associated with this manual process. In addition, there was no way of tracking employee anomalies such as absenteeism and punctuality.

Management were also unable to verify if an employee had actually worked the hours recorded, having experienced some “buddy-punching” issues. As a result, in 2004 they made the decision to replace their manual system with an automated Time and Attendance solution.

Ease of use for management and employees

Advance Metal’s General Manager of Operations, explains, “we tried a range of similar alternatives but found that the Mitrefinch Time and Attendance (TMS) system represented the best overall fit for our organisation. There was a combination of factors that swayed us towards Mitrefinch such as ease of use and their robust biometric devices”.

Advance Metal Products currently have Mitrefinch TMS installed at their two manufacturing plants with approximately 130 employees using it to register attendance. In peak times, they have had up to 180 employees using the system across three sites.

Payroll and labour cost savings

Mitrefinch TMS has significantly improved efficiency within the HR and Payroll department.

“We saved at least half a person in terms of direct labour, as before we employed a person who spent 3 to 4 days per week manually checking the time sheets, investigating discrepancies, processing the payroll and checking figures...as a result we believe the Mitrefinch TMS system has saved us around 1% to 2% of payroll per annum and has proved to be more accurate than doing it manually.”

The Scottish Government is responsible for most of the day-to-day issues of concern for the people of Scotland including health, education, justice, rural affairs, and transport. 

They have six main buildings in Edinburgh and Glasgow and over 40 other facilities across Scotland. If you include their Agencies, Non-Departmental Public Bodies and Associate Bodies, the number of sites runs into the hundreds.   

Single card for attendance and access management

The Scottish Government use the Mitrefinch Time Management System with automated Access Control across their various sites. This means that their pass holders use a single card to register attendance and gain access to specific areas, which they find convenient and user friendly. 

The Scottish Government's Deputy Departmental Security Officer (DDSO) explains:

The Mitrefinch system is a well designed and user-friendly system.  In the main, it is proving itself to be reliable with few card failures. The Mitrefinch Access Control functionality provides integration between all our sites and with our other management systems.

System flexibility

We benefit from having central control of the system for administration purposes, coupled with the flexibility to tailor the system to the needs of individual sites. For example, some of our sites require the provision for extra security measures which the Mitrefinch team are able to easily configure to meet our needs.

Robust reporting functionality

The reporting features have provided the security team with useful management information, for example the number of lost passes or who has access rights to certain secure areas.  The speed at which this information can now be accessed is essential in providing robust site security.  We are currently working with Mitrefinch to further enhance the reporting functionality.

Effective project management and system support

Mitrefinch worked closely with the team at The Scottish Government to devise an effective roll-out plan. The Mitrefinch project team were very approachable and professional and it really helped that they had the flexibility to adjust the project timescales to accommodate tight deadlines. The engineers who installed the hardware were excellent and were prepared to go that extra mile to help deliver the project. 

The Support Helpdesk is also excellent; problems and queries are followed up effectively and we have the opportunity to attend User Group seminars for further training and system updates which are really useful.

In short the Mitrefinch system is robust, easy to understand and importantly is backed up by people with good technical knowledge.

Onsite reporting provides Blackburn Rovers with the real-time info they need on Match Day

On December 18 2010 Blackburn Rovers was one of only two clubs in the English Premier League to stage a game, despite being faced with the effects of heavy snow fall and ice - all the other fixtures scheduled for that day were postponed.

As part of their response to the demands created by the weather, Blackburn Rovers were able to quickly call on additional stewards to assist with snow clearance thanks to their Mitrefinch Workforce Mangement System.

The Club are tasked with managing over 500 stewards every match day - which can be a challenging task for the Club’s administrators. Prior to the 2010 season, they were using a time and attendance system that had been specifically designed for stewarding.

Move to a web-based system for real-time reporting

Whilst this system had served the Club well, further development was required to make it more user-accessible.  There were also concerns about system support in the event of a major problem. As such, they sought a better-supported solution which would allow them to keep their match day stewards in order, pay their wages accurately and store their details consistently from season to season.

Of all the systems considered, the Mitrefinch Time Management System (TMS) stood out for its web-based onsite list, which would give the club the information they needed in real-time.

In addition, the system’s database would allow the Club to record training that stewards had received, along with any further training that was required.

Biometrics provide added security

A Mitrefinch biometric fingerprint clocking terminal is used to register steward attendance and control access to the steward’s room. With this information the Designated Safety Officer can view the onsite list to see how many stewards have registered in each discipline prior to opening the stadium to the public.

After each event the Safety Officer produces a wages report of all the stewards who attended the match which can then be forwarded by email to the accounts department, who pay the stewards accordingly.  

Since the installation, the benefits of Mitrefinch TMS to Blackburn Rovers have been clear and palpable. The Club can now administer their steward database in a far more effective and efficient manner.

We can access the database more quickly and more easily. On top of this, the support and training that the Club received from Mitrefinch has been very good. In short, Mitrefinch TMS has made a big difference to the way the steward’s database is administered on match days.

Mitrefinch onsite reporting ensures the safety of visitors and personnel on site at Akzo Nobel and International Coatings 

International Coatings in the UK is home to the world's largest manufacturing plant producing specialist varnishes and paints. Part of multi-national company, Akzo Nobel, they have over 800 employees and an average of 400 visitors and contractors on site every day.

The plant runs a tight ship operationally and recognises that the biggest threat comes from the risk of fire due to the contents of the coatings components they use and manufacture. From a risk assessment point of view, the secondary threat arises from the possibility of a chemical release. To give an idea of the scale of operations, the safe disposal of International Coating's waste alone costs in the region of $1.5 million each year.

In recognition of the risk of fire, International Coatings utilise the Fire Evacuation functionality available through Mitrefinch's Time and Attendance System. All visitors, staff and contractors must log onto the Mitrefinch application at their point of entry which comprises a gatehouse and turnstiles.

In the event of an evacuation, a full report of all personnel and visitors onsite can be produced instantly, providing rescue teams with vital real-time information. The report is set to print 8 minutes after an alarm has been set off, allowing for those onsite to be evacuated - only those who have not registered as ‘safe' after the pre-set time are then reported on, ensuring the most recent data is used for rescue purposes.

A weekly report is generated to verify staff attendance during appointed hours and distributed to Departmental Managers for their review. In addition, regular tests and reports are run to ensure that the Fire Evacuation functionality is operating effectively.

Whilst secure in the knowledge that they have the right technology in place to ensure the safety of personnel and visitors on site, International Coatings is able to turn its attention to what it does best - manufacturing leading edge coatings.

The Mitrefinch system has since been adopted by International Coating's parent company, Akzo Nobel within its Silvertown operations, near London.

Luxfer Gas manage their employee time and attendance requirements with Mitrefinch

Luxfer Gas manufacture aluminium cylinders for medical, diving, fire and the beverage industry. At their primary UK site they employ 220 employees, all of whom use the Mitrefinch Time and Attendance system (Mitrefinch TMS).

Christine Thompson, Luxfer Gas' Payroll Manager explains how Mitrefinch has benefited their company:

We went live with Mitrefinch TMS in May 2002, having chosen it because of its apparent ease of use. Since then the system has proved extremely successful. Each day we use it to check overtime shift patterns and all the tasks traditionally associated with a small Payroll Department.

Reduced administrative workload

Mitrefinch TMS has reduced our workload considerably, both for management and employees. A prime example of this is the overtime sheets which were previously completed manually by employees - but can now be downloaded direct from Mitrefinch TMS and signed off by the relevant manager.

We can now print reports showing exactly what shifts have been worked and the information is transferred directly to payroll. There are all sorts of reports and statistics that can be downloaded from Mitrefinch TMS, to be honest it has cut our working time by half!

More time to spend on important payroll issues

Benefits, well there are many...it is instantly possible to determine whether an employee is on or off site, whether they are good timekeepers, how many holidays they have left, details of sickness, fire drills, the list is endless.

My role as a Payroll Manager has changed considerably, now that Mitrefinch TMS is up and running I can devote more time to ensuring our payroll is 100% accurate.

Training was provided onsite, which was a bit of a rush job as the time frame for installation was tight but the Mitrefinch Consultant was really helpful and helped me set up everything. Since then the Support Helpdesk has been absolutely magnificent, nothing is too much trouble for them.

The Mitrefinch system covers around 375 office and factory workers, each employee has a personalised ID card which is used to clock-in and out at the end of the day. New employees can be easily added.

For more than half a century, Hawker Pacific Aerospace have been a leading landing gear overhaul and repair organisation with a reputation for service excellence. They are a subsidiary of Lufthansa Technik and are based near London's Heathrow Airport. 

 

Hawker's international customer base includes commercial airlines, air cargo operators, domestic government agencies and aircraft parts manufacturers.

 

Hawker installed Mitrefinch's integrated time and attendance (TMS) and access control system in 2008 to monitor and track their 300 strong workforce. They can now use the same ID card for clocking hours worked and allowing access to certain areas of the business.

 

Before Hawker Pacific Aerospace installed the Mitrefinch Time and Attendance system, unplanned absence, lateness and ghost clocking was an issue. Also the organisation of shift manning levels and staff holidays was paper based and taking up valuable time for managers.

 

Initially, some employees expressed resistance to the new time and attendance system - but once Employee Self Service tools were rolled out, staff soon bought into the benefits of the application.


Employee Self Service allows an employee to handle many job-related tasks (such as booking holidays and viewing hours worked) that otherwise would have fallen to management or administrative staff.

 

The IT Manager at Hawker explains:

 

Once the self service functionality was rolled out, staff could see their own profile, shift patterns, entitlements and absence information, since then lateness has been reduced in many areas. 

 

Administrative staff run absence reports, allowing them to quickly identify problems or patterns with attendance or lateness. As a result Mitreifnch TMS has lead to significant time savings for them and reduced overheads for the company.
